Pool Cars

In addition to users offering rides in their own vehicles, TwoGo provides features for integrating your company’s fleet of pool cars that employees can borrow to share rides. Once an administrator has created the list of pool cars, users have the option to request a pool car during the ride creation process. However, please note that the pool car option is only supported for round trips in which the user has not selected a specific role as the driver or passenger. Administrator users are responsible for creating and maintaining the fleet of pool cars that are available in the system. As an administrator, you add new cars to the list by entering basic details about each vehicle, such as the license plate and number of seats. You can then specify which sites within your company have access to each vehicle.

Managing Pool Cars in Your Fleet

TwoGo administrator users manage the available pool cars using TwoGo Administration. To add new pool cars to your fleet, proceed as follows:

  1. In TwoGo Administration, on the Customer Data screen, open the Cars tab.
  2. Choose the New button.
  3. In the Fleet Cars screen area, on the Common tab, enter the license plate, description, and number of free seats for the car you want to add.
  4. In the list of Unassigned Sites, select each site for which you want to make this car available.
  5. Choose the > arrow to add the selected sites to the list of sites that are allowed to use this pool car.
  6. Choose Save.

This car now appears in the list of pool cars in your fleet at the top of the screen. You can select this entry in the future to make any changes to the car, such as assigning new sites, changing the license plate, or creating service and administration bookings.

Managing Bookings

TwoGo administrator users can also manage bookings for individual pool cars using TwoGo Administration. They can edit bookings made by users and create service and administration bookings. To create or cancel a booking for a pool car, proceed as follows:

  1. In TwoGo Administration, on the Customer Data screen, open the Cars tab.
  2. From the list of cars in the system, select the car for which you want to create or cancel a booking.
  3. In the Fleet Cars screen area, open the Bookings tab. Here you can specify a time period for which you want to see existing bookings.
  4. To cancel an existing booking, select the relevant booking from the list and choose Cancel Booking.
  5. To create a new booking for the selected car, choose New Booking.
  6. Enter the relevant information about the booking and choose Save. The created booking now appears in the list.
