Quick Guide - Ride Intents

To participate in a shared ride, you first create a ride intent to specify the time,#PERMREF: origin, destination, and commuting preferences for your journey.

Getting matched

When the system finds a match for you, TwoGo:

  • Sends a confirmation meeting request indicating the precise departure and arrival times of your matched ride.
  • Updates your ride intent card with the details of your matched ride. Click user.quickguide.itinerary.png to view your ride details including pick-up and drop-off points, ride participants, and so on.
  • Sends you an SMS if the ride takes place within the next 24 hours (and you have registered your phone and switched on TwoGo SMS notifications).

Searching for alternatives for unmatched rides

If TwoGo cannot find an exact match for the ride you requested, it gives you the opportunity to select a close alternative proposal (where available) if you are willing to accept minor modifications to your original ride intent.

Tasks

Creating ride intents

TwoGo provides two different modes for creating ride intents. There is a simplified Chat mode, which guides you through the process step by step, or a more advanced mode for users who are more familiar with the process. You can switch between the two modes at any time by long-pressing the + icon for creating ride intents and selecting either Chat or Advanced.

First-time users and users who have no rides in the system are automatically taken to the simplified mode when they start creating a new ride intent. Simply follow the prompts on the screen to create your new ride intent.

To create a new ride intent using the Advanced mode, proceed as follows:

  1. (Optional) Select whether you want to be the driver, passenger or either in this particular ride. This setting overrides the commuting preferences you set on the Ride preferences card.
  2. Select Create Ride and go to the New ride as card.
  3. To set when and how often you want to share the ride, click the dropdown arrow next to Repeats and select one of the following:
    • For a single one-off ride, click Never.
    • For one specific day or days, click By Day and then select the relevant dates.
    • For regular weekly rides, click Weekly and then select:
      • The days on which you want this ride to recur each week.
      • Which dates you want the recurrence to start and end.

NOTE: For wider recurrence options (for example, every 3rd of the month) we recommend you set up your ride intent via your calendar.

  1. In the From and To fields enter the addresses or location short names you require and select the exact addresses from the suggestions displayed. TwoGo displays your route on the map.
  2. (Optional) If you have opted to be the driver or either, you can customize your route if you prefer an alternative to the automatic route that TwoGo calculates for you.

WARNING: If you later change your role to Passenger only, then any customizations you make to the route are not taken into account.

  1. Set the earliest possible departure time and latest possible arrival time.
  2. (Optional) Set the ride type:
    • For a round trip, select the Make it a round trip checkbox.
    • To designate this ride as a busines trip, select the Business Trip checkbox. NOTE: This option automatically restricts you to only being matched with colleagues or a specific group within your organization.
  3. (Optional) If you chose the role Driver or Either, you can set ride preferences just for this specific ride. Click Show Driver Settings to open the Ride Preferences card, where you can set preferences that will apply to this ride only. In addition to setting ride-specific preferences, this is also where you can choose which car you want to use.
    • To select one of your own cars, click the Car dropdown list and choose from a list of all cars that you have registered with TwoGo.
    • If you have not yet registered any cars with TwoGo, you can select Add My Car. After you save your ride intent, you will automatically be prompted to register your car with TwoGo.
    • If you will be driving a car that you don’t normally use, for example, a rental car, select Temporary Car (Rental Car) and enter basic details about the color and, if possible, the license plate.
    • If your company has a fleet of pool cars that you can use, and they have configured this feature in TwoGo, you can select Request Pool Car. Pool cars are only available for round trips and users who selected Either as their role. Therefore, when you select the Request Pool Car option, your ride preferences will automatically be changed accordingly. Once an appropriate pool car is assigned to you, its details will appear in your ride intent just like a normal car.

NOTE: After you save your ride intent, it may take a while for a pool car to be assigned to you, so you won’t initially be able to see any details about the pool car. Please check the Ride Preferences card again later to see which pool car has been assigned to you.
Please also note that if an administrator removes the pool car from the system, for example, due to a sudden mechanical issue, you will only receive a notification that your pool car is no longer available if you have configured TwoGo to send meeting requests to your preferred calendar app. If you have only enabled SMS notifications, you will not receive any notification. Therefore, we strongly recommend that you check that the pool car is still assigned to you on the Ride Preferences card a few hours before your scheduled departure time. If the pool car has been unassigned, you need to delete your ride intent and create a new one for your trip.

  1. Enter the number of free seats in the car that can be taken by other users. Note that the Free Seats field specifies the number of seats that are available in addition to the seat already occupied by you. For example, for a car with a total of 5 seats, you would enter 4 as the number of free seats.
  2. Click Save.

TwoGo adds your new ride intent as a new card on the Dashboard. Use the scroll buttons, if required, to navigate through your rides in chronological order. For recurring ride intents, the Dashboard displays the ride intents you set up for the next seven days. You can also see an overview of your recurring ride series on the Recurrence card, the last card on the Dashboard.
If you haven't unsubscribed from TwoGo acknowledgements, TwoGo sends you a meeting request to acknowledge the ride intent you created. The meeting request blocks your calendar from the earliest departure time to the latest arrival time you indicated.

Searching for and joining existing rides

  1. Select Search.
  2. In the From and To fields specify at least one of the origin or destination addresses. Enter the address or location short name you require and select the exact address from the suggestions displayed.
  3. Set your arrival or departure time, use the down arrow to toggle between the options.
  4. Select whether you want to be the driver, passenger or either in this particular ride.
  5. Click Search. TwoGo displays the list of available matching rides.
  6. If a match is available, click the relevant Join option next to the ride you would like to join. You are automatically matched. TwoGo adds your new matched ride as a new card on the Dashboard.
  7. If there isn’t a matching ride available yet, you can save your search as a ride intent:
    • Click the relevant Create ride as option you want. TwoGo displays your ride intent, giving you the option to make any changes you require.
    • Click Save.

Searching for alternatives for unmatched rides

If TwoGo cannot find an exact match for your ride intent, there may be close alternative rides available if you are willing to accept minor modifications to your original ride settiings. You can view the list of alternatives either in the web application or by email notification (provided you have not unsubscribed from this service).

  1. Check if there are alternatives available for an unmatched ride intent:
    • Web: From the Dashboard, click the unmatched ride intent. If TwoGo finds close alternative rides, it proposes a list of the alternative ride settings you can choose from.
    • Email: TwoGo automatically notifies you via a link in the Close matches for your ride email. Click View close matches.
  2. Select the proposal you prefer and then click Apply change. TwoGo updates your ride intent card with the new details of your shared ride.

Viewing your ride intents

All future ride intents that you have created, both matched and unmatched are listed on the Dashboard in chronological order. For recurring ride intents, the Dashboard displays the ride intents you set up for the next seven days. You can also see an overview of your recurring ride series on the Recurrence card, the last card on the Dashboard.

Modifying ride intents

You can change the role, location, time, route and commuting preferences for your ride intents.

NOTE: If you edit or delete a ride intent that you created via your calendar, this will generate inconsistencies with your calendar as the calendar entry will not be updated.

  1. From the Dashboard, select the ride intent, then click user.quickguide.editride_green.png.
  2. On the Edit ride card, make the modifications you require to your time, location, route or commuting preferences.
  3. Click Update.

Modifying recurring ride intents

You can change the role, location, time, route and commuting preferences for your recurring ride intents either for a specific instance or for the entire series at once.

NOTE: If you edit or delete a ride intent that you created via your calendar, this will generate inconsistencies with your calendar as the calendar entry will not be updated.

  1. From the Dashboard, select the recurring ride intent you want to change then click user.quickguide.editride_green.png.
    • For a specific instance, select the relevant ride card.
    • For the entire series, select the ride on the Recurrence card, the last card on the Dashboard
  2. If you have selectd a single instance, confirm whether you want to modify this particular instance of the recurring ride or the entire series.
  3. On the Edit ride card, make the modifications you require to your time, location, route or commuting preferences.
  4. Click Update.

Setting and modifying your route manually

WARNING: If you later change your role to Passenger only or revert to the TwoGo suggested route, all your customizations will be ignored.

To modify the automatic route set by TwoGo:

  1. On the New ride ascard, where you want to deviate from the suggested route, hover over that point until a black circle appears, then drag it to the waypoint you prefer. TwoGo places a gray marker at the closest street to this position. If this is not the position you intended you can move the marker around.
  2. Click Save if this is a new ride intent or Update if you are editing an existing one.

To modify a route you have already customized:

  1. From the Dashboard, select the ride intent, then click user.quickguide.editride_green.png.
  2. To adjust your route, drag the gray markers to the new positions that you prefer or add new markers if needed. To remove a marker you no longer need, select it and then click Remove.
  3. Click Update.

To revert to the TwoGo suggested route:

  1. From the Dashboard, select the ride intent, then click user.quickguide.editride_green.png.
  2. Click a gray marker on your customized route, then click Remove. Repeat for each marker.
  3. Click Update.

Reusing your customized route in your calendar:

If you set up a customized route between any given locations in the web application, TwoGo will also automatically use this route when you create a ride intent in your calendar between those same locations.

Deleting ride intents

NOTE: If you edit or delete a ride intent that you created via your calendar, this will generate inconsistencies with your calendar as the calendar entry will not be updated.

From the Dashboard, select the ride intent, then click user.quickguide.trashcan.png.

Deleting recurring ride intents

  1. From the Dashboard, select the recurring ride intent you want to delete, then click user.quickguide.trashcan.png.
    • For a specific instance, select the relevant ride card.
    • For the entire series, select the ride on the Recurrence card, the last card on the Dashboard
  2. If you have selected a single instance, confirm whether you want to delete this particular instance of the recurring ride or the entire series.
