Quick Guide - Managing Users

You can use the Customer Data -> Users tab to delete users who are no longer at your sites, block users who abuse the system, change email addresses for specific users, and resend verification details.

NOTE: This feature is not available if you are running TwoGo Administrator in DSO-compliant mode.

Tasks

Viewing users

To search for a specific user:

  1. On the Customer Data screen, open the User tab.
  2. In the search field, enter any part of the user name of employee ID for the user.
  3. All matching users belonging to the sites for which you have administrations rights are displayed. For example, if you type abc the search will find users abc.def@youremaildomain and def.abc@youremaildomain.

Blocking and unblocking users

To prevent a user from creating ride intents and from logging into the web application, you can lock their account:

  1. On the Customer Data screen, open the User tab.
  2. Search for the relevant user as described above.
  3. Select the user from the list of search results.
  4. In the User Details screen area, open the Account tab.
  5. Click either the Lock User or Release Lock button to lock or unlock the selected user.
  6. Click Save.

Modifying login names and email addresses

To change the login name and primary email address of a specific user:

  1. On the Customer Data screen, open the User tab.
  2. Search for the relevant user as described above.
  3. Select the user from the list of search results.
  4. In the User Details screen area, click the Change' button next to the user’s email address. The Rename Account dialog opens.
  5. Make the changes to the users email address and click Rename to close the dialog.
  6. Click Save.

Sending verification details

To resend the verification link or the verification PIN to unverified email addresses or cell phone numbers:

  1. On the Customer Data screen, open the User tab.
  2. Search for the relevant user as described above.
  3. Select the user from the list of search results.
  4. In the User Details screen area, open the Contact tab.
  5. The Status column shows which email addresses and phone numbers are verified or not. Click Not Verified next to the relevant email address or cell phone number.
  6. Click Resend Verification.
  7. Click OK to acknowledge that the message has been sent.
  8. The user will receive a new verification link or PIN.

Deleting users

When you delete users, the system also deletes the following related information:

  • All their master data
  • All their ride intents
  • Matched ride intents scheduled for future dates. TwoGo sends notification of this cancelation to all affected users who were due to participate in the shared ride.

No trace of the user remains in the system except for past activity recorded in the log files. Deleted users can register again if they want to.

To delete a user proceed as follows:

  1. On the Customer Data screen, open the User tab.
  2. Search for the relevant user as described above.
  3. Select the user from the list of search results.
  4. Click Delete
