Use TwoGo with your calendar

With the help of TwoGo you can create and manage your travel requests as appointment requests in your calendar.

Determine or create locations

Before you can send and manage the travel requests in your calendar, you must enter the addresses for your start and destination.

  • Log into the TwoGo web application at www.twogo. com .
  • On the Saved Places screen, find the places you want to use. Note that abbreviations (e.g. WORK) are used for the location.
  • If your desired location is not listed, you can create your own location.
Register vehicle

This is only necessary if you want to be referred as a driver or passenger / driver.

  • Log into the TwoGo web application at www.twogo. com .
  • Click your name and select Vehicle to view your vehicle details.
Set a custom route between favorite locations

This option only applies if you want to be referred as a driver.

If you always want to take a specific route between preferred locations, proceed as follows:

  • Log into the TwoGo web application under www.twogo.com .
  • On the Create trip screen, create your trip request and define the preferred locations that you want to set as the starting and destination points.
  • If you want to deviate from the suggested route at a certain point, move the mouse pointer over the exact position until a black circle appears and drag it to the desired route point. TwoGo places a gray marker on the street closest to this position. If this is not the position you want, you can move the marker freely.
  • Choose Save.
Block people

This is only necessary if there are people with whom you do not want to ride together.

  • Log into the TwoGo web application at www.twogo. com .
  • Click your name, select Blocked People, and fill in details of the person you do not want to ride with.
Create journey requests

Create your journey request as an appointment request and send it to TwoGo:

  • Open your calendar and select New appointment request.
  • In the To field, " ride@twogo.com ".
  • Enter any short description in the Subject field. Example: "My first ride-sharing".
  • Enter the following details in the Location field:
    • start and destination points of your journey are given in the form of two short names and are separated by "to". Example: "HOME to WORK" represents a trip from your home address to your work address.
    • Your trip settings for this trip request: If you want TwoGo to only search for trips for you where you are Are a driver, just add “as a driver” to the Location field. In such a case, enter, for example, "HOME to WORK as driver". If you only want to travel as a passenger, add “as a passenger”. If you do not prefer either of the two options, add "as driver or passenger". NOTE: Instead of "passenger" you can also write "co-driver" or "passenger".
  • Set the start and end times to reflect your earliest possible departure time and your latest possible arrival time.
  • (optional) Define round-trip or repeat options if necessary.
  • Choose Submit. If you have a subscription for the TwoGo confirmations, TwoGo will send you an appointment request to confirm the journey you have created. The appointment request blocks your calendar from the earliest possible departure time to the latest possible arrival time that you have specified. NOTE: This appointment request does not correspond to a ride found.
Create journey request as a round trip

It is recommended that commuting to and from work be specified as round trips.

Proceed as follows to set up your travel request as a return journey: Create two separate appointment requests for the same day and add the numbers 1 and 2 in the Location field to indicate whether it is is the outward journey (1) or the return journey (2).

Enter "1 HOME to WORK" for the morning journey and "2 WORK to HOME" for the evening journey.

Set up serial travel requests
  • Create your journey requests as described in the section Creating journey requests and define the repetition period and the desired driving rhythm.
  • Choose Submit.
Confirmation messages from TwoGo

NOTE: If your appointment request is not valid, TwoGo will send you a rejection of your appointment request with detailed information on the reason for the rejection.

If your appointment request is valid and you subscribe to TwoGo confirmations, TwoGo will send you appointment requests to confirm the travel requests you have created. These appointment requests occupy your calendar from the time of the earliest possible departure to the latest possible time of arrival for each trip request within the standard repetition period set by your administrator. If your own recurrence period is longer, TwoGo will continuously send you confirmations for each additional standard period.

EXAMPLE

If you have created series travel requests for a month and your administrator has set a repetition period of seven days, you will receive travel confirmations for the days on the first day 1 to 7. On the second day you will receive the confirmation for the journeys on day 8, on the third day for the journeys on day 9 and so on, until TwoGo has confirmed all the travel requests for this month.

Confirm a ride found by TwoGo

If TwoGo finds a suitable ride for you, TwoGo will send you an appointment request with a confirmation of the exact departure and arrival times of your ride. TwoGo sends this appointment request to both you and your passengers. It contains an itinerary, the pick-up and drop-off addresses and the contact information of all passengers.

This confirmation appointment request for your carpool will appear in your calendar next to your original appointment request.

You have to accept the confirmation of the appointment request without making any changes.

ATTENTION: Never reject this appointment request from TwoGo and do not change or delete it, as the system simply ignores these types of responses.

Change your travel preferences
Change individual travel requests
  • In your calendar, open the appointment request that you originally sent.
  • Adjust the data and send the request again to ride@twogo.com .

The appointment request can also be entered in your calendar on any day.

If the appointment request matches a ride found, TwoGo informs all passengers about the changes.

ATTENTION: Do not change the appointment request that you received from TwoGo if your carpool has already been confirmed!

Change your return trips

You can change an existing one-way trip to a return trip or delete a section of an existing return trip.

How to change an existing trip to a return trip:

  • Open the relevant appointment request in your calendar and add a sequence number in the Location field. For example, change “HOME to WORK” to “1 HOME to WORK” to indicate that this trip is now part of a return trip.
  • Send the appointment again to ride@twogo.com .

How to remove a section of a return trip:

  • Open the corresponding appointment request in your calendar and delete the sequence number from the Location field. For example, change "1 HOME to WORK" to "HOME to WORK" to indicate that this trip is no longer part of a return trip, but only a one-way trip.
  • Send the appointment again to ride @ twogo.com .
Changing a single trip within a series trip request
  • In your calendar, open the trip that you want to change.
  • Adjust the data and send the request again to ride@twogo.com .
TwoGo keeps your calendar up to date

NOTE: You will only receive an answer if you have subscribed to TwoGo confirmations.

If your changes are valid, TwoGo will send you a confirmation of your appointment request with updated information. You will be confirmed immediately if the journey concerned is within the repetition period set by your administrator (e.g. within the next seven days). If your trip is scheduled for a later time, TwoGo will send you a confirmation at the beginning of the repetition period within which the trip will take place.

EXAMPLE 1 - You change a trip request that is scheduled for February 10th on February 6th and your administrator has set a recurrence period of seven days. You will receive confirmation from TwoGo immediately.

EXAMPLE 2 - You change a trip request that is scheduled for February 18th on February 6th and your administrator has set a recurrence period of seven days. You will receive the confirmation from TwoGo on February 12th (ie seven days before your trip).

Change a series of travel requests

ATTENTION: Any changes you make to the time of individual journeys in a series will be overwritten by the time changes you make for the entire series. Changes that are not time-related are not affected.

  • Open the original appointment request in your calendar.
  • Adjust the data and send the request again to ride@twogo.com .
TwoGo keeps your calendar up to date

NOTE: You will only receive an answer if you have subscribed to TwoGo confirmations.

The feedback you get from TwoGo depends on the type of change you want. If your changes are valid and:

  • time-based: TwoGo updates the trips within the repetition period. You will therefore receive new confirmations for your appointment requests with information on the time of each trip.
  • not time-related: TwoGo will adopt the changes you have made and send you updated appointment requests for the existing trips.

NOTE: In both cases, TwoGo's confirmations cover all trips within the repetition period set by your administrator (e.g. within the next seven Days). You will continuously receive confirmations for trips that are scheduled for later times for each additional repetition period. Refer to this example for more information.

Cancel your journey requests
Cancel individual travel requests or return travel requests
  • Delete the appointment request that you originally sent from your calendar.

If the appointment request matches a ride found, TwoGo informs all passengers of the cancellation.

Cancel series trip requests

To cancel an individual trip request, proceed as follows:

  • Delete the appointment request for the corresponding trip request in your calendar. TwoGo will send you a cancellation for the appointment request that relates to this trip, provided it has already been confirmed.

To cancel the entire series of travel requests, proceed as follows:

  • Delete the appointment request that you originally sent from your calendar. TwoGo will send you a cancellation for the appointment requests that relate to existing trips and have already been confirmed.
